Customer and User Deletion and Recycling Bin

Overview

The Atria Recycling Bin is a new feature only available through Atria's New User Interface, it provides a recoverable deletion flow for customers and users. When a customer or user is deleted from the New UI, the record is removed from Active Directory while in Atria the object is still available in the database but is moved into a Hidden state and can be seen only through the Recycling Bin.

Hidden records are removed from normal interface views and excluded from global search. They are visible only through the Recycling Bin, where authorized users can restore them as needed.

There is also a new Atria Job called "Delete Deprovisioned Entities" which handles the deletion of record from the Atria Database upon runtime and is based on the Retention Days set on the Customer Portal Settings value. The "Retention Days" property can be explicitly set per customer or as an inheritable value from the reseller service.


Use Case

Use the Recycling Bin when a customer or user has been deleted from the New UI and needs to be reviewed or restored before the retention period expires.


Prerequisites

  • Atria version 15.33 or later
  • Access to the New User Interface
  • Provision permissions for restore actions
  • Retention Days configured on Reseller Service > Customer Portal Settings or explicitly on the customer's Customer Portal Settings
  • Enabled Atria Job "Delete Deprovisioned Entities" for automatic cleanup

What Happens When a Customer or User Is Deleted from the New UI

  1. The customer or user is moved into a Hidden state.
  2. The record is removed from normal Customer Management or User Management views.
  3. The record is excluded from global search.
  4. The record becomes visible in the Customer or User Recycling Bin.
  5. The record remains recoverable until the configured retention day period expires.

There is currently no New UI action to manually hard delete a record from the Atria database.


Recycling Bin Restore Behaviour

The Recycling Bin supports both single object restore and multi-select restore.

  • When a customer is restored, the customer is then provisioned in Atria and in Active Directory.

    • Customer restore does not automatically restore the users.
  • When a user is restored, the user is provisioned in Atria and Active Directory.

    • At the moment, Atria does not restore the same Active Directory User, it creates a NEW user which has a different SID.

Permissions

Only users with the existing Delete permissions for the relevant Customer or User area can view and restore items from the Recycling Bin.

Recycling Bin and Restore action also use the existing backend delete and provision permission checks to ensure users can only restore records they are authorized to manage.


Retention and Cleanup

Atria runs a daily cleanup job to permanently remove Recycling Bin records that are older than the configured retention threshold. By default, the following needs to be configured:

  • Atria Job "Delete Deprovisioned Entities" is disabled by default.
  • Retention Days is set to 99999 days.

Configuration

  • Set Retention Days property on:
    • Reseller Service > Customer Portal Settings or
    • explicitly on the customer's Customer Portal Settings
  • Enable the Atria Job "Delete Deprovisioned Entities"

Sample Walkthrough

Notes

  • Existing previously deleted or deprovisioned records are not backfilled into the Recycling Bin model.
  • Manual permanent delete from the Recycling Bin is not required at this stage.
  • Restoring a record does not automatically restore services; At the moment, service restoration is out of scope for the Recycling Bin restore action.
  • Old UI Provision, Deprovision, Delete actions are still the same and are not changed.
